POPIA-aligned privacy policy

Your privacy is important to us.

This document explains how Mickey & Friends Academy collects, uses, stores and protects personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are

The responsible party in terms of POPIA is Mickey & Friends Academy, located at Nzhelele Biaba, Dzanani, Makhado, Limpopo, South Africa. We are an early childhood and primary school providing care and education from 3 months to Grade 7.

2. What personal information we collect

We may collect the following personal information, depending on the nature of your relationship with us:

  • Parents/guardians: name, identity or passport number, contact details, home address, employment information and payment records.
  • Learners: name, date of birth, identity or birth certificate number, medical history, dietary or allergy information, academic records and photos/videos taken during school activities.
  • Visitors and enquirers: name, email address, phone number and any other details you provide through our contact form, email or WhatsApp.

3. How we collect information

We collect personal information directly from you when you:

  • complete an application, admission or registration form;
  • contact us via email, phone, WhatsApp or our website contact form;
  • sign our learner code of conduct or other school agreements;
  • attend school events, tours or parent meetings; or
  • provide updates to your child’s records.

We may also capture photos and videos of learners during school activities, events and outings for record-keeping, communication and marketing purposes, in line with the consent provided at registration.

4. Why we process personal information (lawful purpose)

We process personal information only for lawful purposes related to providing education and care, including:

  • admissions, registration and administration of learners;
  • education, care, safety and welfare of learners;
  • communication with parents and guardians;
  • fee billing and payment processing;
  • compliance with legal and regulatory obligations;
  • internal record keeping, quality assurance and reporting; and
  • marketing the school through approved photographs and success stories, where consent has been obtained.

5. How we share personal information

We do not sell personal information. We only share it with third parties when necessary and under appropriate safeguards, such as:

  • service providers who assist with administration, communication, payment processing or IT systems;
  • government departments or statutory bodies where required by law (e.g., Department of Education, SARS);
  • health professionals or emergency services when a learner’s welfare requires it; and
  • authorised school staff and educators who need the information to perform their duties.

6. Data security

We take reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse or destruction. These measures include restricted access to records, password protection, secure storage and regular review of our information handling practices.

7. Data retention

We keep personal information for as long as it is necessary for the purposes described in this policy, or as required by law, regulation or the school’s legitimate operational needs. Once the information is no longer needed, we securely delete, destroy or de-identify it.

8. Your rights under POPIA

As a data subject, you have the right to:

  • request access to the personal information we hold about you or your child;
  • request correction or updating of inaccurate or outdated information;
  • object to the processing of personal information in certain circumstances;
  • request deletion of personal information where retention is no longer lawful or necessary;
  • withdraw consent for optional uses such as marketing photographs; and
  • lodge a complaint with the Information Regulator if you believe your rights have been violated.
